Many rideshare and delivery drivers know how much they earn each day, but have little or no idea what it actually costs them to earn that money. Fuel or charging is only part of the picture. Insurance, depreciation, maintenance, tires, vehicle payments or rentals, subscriptions, cleaning, unexpected repairs, downtime, and many other expenses can quietly reduce what you’re really making.

ESW Rideshare True Operating Cost is a free tool designed to help you put those costs together and estimate your true operating cost per mile. Start with a quick estimate, or go deeper with a detailed analysis to get a clearer picture of what your rideshare or delivery work is actually costing you—and how much of your earnings you may really be keeping.

This is a free web app created by me, Ed Silva, a veteran rideshare and delivery driver since 2017, with more than 9 years of experience and over 29,000 rides completed.

I’ve been driving rideshare full-time for more than nine years, and while researching and building this calculator, I went deep down the rabbit hole—and even I discovered things I hadn’t fully considered. It was an eye-opener, and I believe this report can completely change the way you look at your rideshare business.

Count all business miles. Include pickup miles, passenger/delivery miles, repositioning, airport movements, charging/fueling trips, and other miles driven for the work — not only paid-trip miles.

Paid vs. empty business miles

Why this matters. Your vehicle costs money on paid and unpaid business miles. This optional section helps the report show how much of your driving directly carries a passenger or delivery versus pickups, repositioning, reservations, charging/fueling trips, and other empty business movement.

Vehicle financing & arrangement details

Depreciation is already handled in Quick Mode. This section does not calculate depreciation again. It only asks for an additional cost when it actually applies to the vehicle arrangement you selected.

Insurance & TNC coverage

Coverage periods: Offline/personal use; Period 1 = online and waiting for a request; Period 2 = accepted request and en route to pickup; Period 3 = active ride or delivery. Your own coverage can matter differently across these periods.

Fuel & energy details

Gasoline or conventional hybrid: your primary fuel cost is calculated from the MPG and gasoline price entered in Quick Mode. No EV charging information is needed.

These charging fields are only for vehicles that plug in: battery-electric vehicles and plug-in hybrids. They refine the efficiency method. If you selected actual charging expenses in Quick Mode, your real charging spending is used instead.

Maintenance, tires & cleaning

Add recurring expenses using the frequency that matches real life. Mileage-based entries are converted automatically.

Apps, subscriptions & business overhead

Quick Mode subscriptions total is being used. How should subscriptions & overhead be calculated?

Examples can also include separately paid roadside-assistance memberships, unreimbursed business parking/tolls, business phone/data portions, or other recurring operating overhead. Do not enter an expense here if it is already included in insurance, fuel/charging, maintenance, a rental/lease payment, or another section.

Registration, taxes & required operating fees

Use this section for required costs that are not already counted elsewhere. Examples can include annual registration/tag renewal, recurring vehicle property or ad valorem-type taxes, inspections/emissions, and rideshare, for-hire, airport, or other operating permits you personally pay. Do not repeat insurance, fuel/charging, maintenance, lease/rental charges, or app subscriptions here.

Ordinary personal driver-license renewal is usually not a vehicle operating cost. If you pay for a special chauffeur, for-hire, TNC, or similar credential specifically for this work, you can add that fee here. If your state charges a large one-time title or acquisition tax when you buy the vehicle, do not automatically treat the whole amount as a recurring annual fee; avoid entering it again if your vehicle-value/depreciation assumptions already reflect that acquisition cost.
